Terms of Service

Effective July 8, 2026 · SealBook is operated by Olympia Software Solutions ("Olympia," "we," "us"), a Virginia company.

1. The service

SealBook provides recordkeeping, document, scheduling, payment-facilitation, and electronic/remote notarization software for commissioned notaries public and the organizations that employ them. SealBook is software. It is not a notary, a law firm, or legal advice, and it does not perform notarial acts. Compliance with the laws of a notary's commissioning jurisdiction is and remains the sole responsibility of each notary.

2. Accounts and eligibility

You must provide accurate information, including commission details, and keep credentials secure. Features that render an official electronic seal or apply digital signatures are available only after commission verification and are restricted to actively commissioned notaries. Organization administrators may view records of acts performed within their organization ("receipts") but never the contents of an individual notary's journal.

3. Journals and records

Journal entries are append-only and tamper-evident by design; sealed entries cannot be edited or deleted, and corrections are recorded as linked amendments. The journal belongs to the notary. Files bound to sealed entries or subject to legal hold cannot be deleted during applicable retention periods. You may export your records at any time.

4. Remote and electronic notarization

Remote notarization features may be used only by notaries who hold any registration or authorization their commissioning state requires and only in compliance with that state's law, including identity-proofing, physical-presence, recording, and retention requirements. Where a deployment has not enabled statutory identity proofing, remote sessions are labeled as pilot sessions and must not be relied upon as notarizations of record. You are responsible for the truth of any attestation you make in the product, including attestations of registration and physical location. Attempting to falsify location, identity, or session records is prohibited and may be a crime.

5. Payments

Payment processing is provided by Stripe. Payments for notarial services flow directly from payer to the notary's or organization's own account; SealBook does not hold, custody, or transmit client funds. Subscription fees, per-session fees, and platform fees are billed as described at purchase and may change with notice.

6. Identity verification services

Identity proofing in remote sessions is performed by third-party verification providers. By proceeding, signers consent to the provider's processing of their identification data under the provider's terms and privacy policy. SealBook stores only the outcome and a reference identifier — never identification images.

7. Acceptable use

You may not use SealBook to commit fraud, notarize documents unlawfully, misrepresent identity or location, interfere with the service, or attempt to alter sealed records. We may suspend or terminate accounts engaged in unlawful or abusive use; upon termination you retain the right to export your journal and records required by law.

8. Disclaimers and liability

The service is provided "as is" without warranties of any kind to the fullest extent permitted by law. Olympia's aggregate liability arising from the service is limited to the fees you paid in the twelve months preceding the claim. Nothing in these terms limits liability that cannot lawfully be limited.

9. General
